Building Operations Manager

We’re hiring! We are currently looking for a motivated Building Operations Manager to join our team full-time in our DOMINION* building located in Bridgeland.

This role is a great opportunity for anyone who is passionate about buildings running smoothly and enjoys being on the go! The accountabilities are robust: everyday will look different with responsibilities ranging from building operations, annual budgets, and liaising with residents. The ideal candidate would have a mixture of experience in property management, customer service, administration and familiarity with building operations.

You’re a smooth building operator and you’re known for being reliable, quality focused, and have an extremely high level of attention to detail. You excel at quality work and hold yourself accountable with a high degree of integrity. You have the ability to shift priorities and adapt to the varying workload and pace of the cycles of managing a building. You’re proactive, solutions-based, and someone who takes initiative.

As Building Operations Manager, you are a key member of our team responsible for ensuring the success of Dominion. You’re someone that’s organized, gets the job done accurately, and in a timely manner. You have proven communication skills with colleagues, residents and vendors. You are self-motivated, trust-worthy and have a strong work ethic.

Responsibilities

Building Operations:

- Track and audit concierge supplies

- Provide assistance with maintenance and cleaning supply inventory

- Assisting the service team with coordinating or carrying out work requests

- Helping with screwdriver maintenance (replacing door batteries, smoke detectors, and other fixes.)

- Helping manage amenity spaces like the co-working space, guest suites, gym, and yoga room

- Helping with move in and move out inspections with direction from PM and Leasing

- Maintain record of building maintenance schedules and operations budgets including but not limited to snow removal, HVAC, elevator maintenance, annual safety inspections, and security systems

- Ensure building standards and efficiencies are in compliance with company policies

- Conduct and log routine inspections (interior, exterior, mechanical, electrical, and HVAC systems, etc.)

- Perform or arrange repairs as needed

- Maintain current emergency contact information and regularly review emergency response safety plan

- Monitor building systems for proper operation and report any discrepancies

- Coordinate and schedule all required maintenance with subcontractors

- Enforce service contracts – standards regularly achieved

Administrative & Accounting:

- Maintain information in Yardi, Egnyte, and the Dominion Life App

- Helping with deposit refunds, and accounting tasks with direction from PM

- Reconciliation of utilities for vacant units

- Manage and audit parking assignments for both residential and commercial tenants

- Manage and audit residential insurance documents

- Track and audit storage locker assignments

- Monthly and annual reporting of project financial performance to head office

- Preparation of annual operating budgets for approval

- Approve and code invoices as per operating budget

- Confirm prompt receipt of all monthly rent receivables

- Reconcile balances of bank and other cash accounts

- Working within Yardi to create and pull reports as needed

Qualifications:

- Current Property Management license or open to getting licensed is an asset

- Minimum High School Diploma

- Property management (3 years minimum)

- Intermediate MS Office skills

- Effective communication skills, both written and oral

- Strong problem-solving skills, resourceful and solutions-minded

- Experience in building operations (HVAC, Plumbing, Electrical, Fire Alarm, etc.)

- Knowledge of provincial building safety codes and regulations

- Working knowledge of OHS and WHMIS

- Ability to read and interpret mechanical/electrical blueprints is an asset

- Experience with Salto and Luxer is an asset
